The mission of the Aspen Institute Education & Society Program (Aspen Education) is to improve public education by informing, influencing, and inspiring education leaders across policy and practice, with an emphasis on achieving equity for students of color and students from low-income backgrounds. We provide a neutral and balanced venue for discussing and acting on critical issues related to education and society.

About the Work:

Aspen Education hosts a robust national network for urban education leaders; a professional learning and leadership development space for superintendents, chief academic officers, chiefs of schools, chief financial officers, and other senior leaders. Network participants are both learners and exemplars, committed to leading toward excellence and equity for students. Members come from fifteen urban, bellwether public school districts and charter management organizations. Together these systems serve over 1.2 million students. This network is complemented by practitioner-oriented collaborations that offer learning opportunities, produce guidance documents, and publish literature to further the Aspen agenda in K-12 systems and policy.

About the Role:

The Program Coordinator will report to the Associate, Practice and work closely with the Program Associate, Practice; Managing Director; and Executive Director for Aspen Education, consultants, and the rest of the Aspen Education team to provide primary staff support through an array of functions integral to the success of the Aspen Education Program.

Essential Duties and Responsibilities include, but are not limited to:

Network Management:

  • Support the tracking of learning from convenings and events.
  • Build and manage contact lists, including for Aspen Educationís Superintendent Network and Chiefís Network and keep this current.
  • Support and confer with consultants and field experts who assist with Aspen Education work.
  • Schedule meetings between project team and convening participants, and participate in meetings for note-taking and follow-up.
  • Serve as liaison to guests, participants, and partners where appropriate.
  • Assist in building and maintaining protocols and systems that improve process.
  • Work with the executive assistant on scheduling or administrative tasks.

Content Development: Provide administrative, operational, and content-based assistance in grounding Aspen Educationís planning and outreach in the latest research and practical developments.

  • Support project development and management under guidance from the the Program Associate and other team members.
  • Track treatment of education issues in traditional and social media, from partner organizations and funders.
  • Assist the team in sourcing and selecting readings for networks and convenings.
  • Assemble electronic and hard-copy binders, folders, presentations, and other materials to help prepare participants and staff for convenings.
  • Assist in editing team publications including blogs, one pagers and takeaway memos.
  • Event Planning/Logistics: Support the development and execution of high-quality learning experiences for education practice leaders, including:  Collaboration with Policy and Practice Associate and   Aspen Education Operations team.
  • Schedule meetings and calls, participating in and taking notes during calls and meetings, and summarizing notes from calls for important trends and details.
  • Create and manage spreadsheets to track external outreach, participant recruitment, and key stakeholder information.
  • Compile meeting materials and organize a process for printing and disseminating materials in advance of each event.
  • Assist with onsite logistics in-person convenings, working in close collaboration with the Aspen team.

Operations/Financial: Support the overall administrative efficiency of the Aspen Education Program by serving as a problem-solver and:

  • In coordination with Aspen team, prepare Honoraria agreements and ethics forms, help with invoices and reimbursements.
  • Coordinate with Meetings Manager to manage Aspen Education program calendar.
  • Support team with collecting, organizing, and producing meeting and presentation materials (including name tents and tags, meeting agendas and participant lists), publication inventory, printing, shipping and copying as necessary.

  • Bachelor's degree preferred; 1-3 years experience preferred;

  • Able to make decisions with the information available and also know when to ask for help;
  • Excellent computer skills and mastery of Microsoft Office Suite, and familiarity with office productivity tools like Basecamp, CVent, Google Docs, Zoom, etc.;
  • Committed to advancing equity, diversity, and inclusion in the field and in the workplace;
  • Ability to travel up to 20% of time. Occasional night and weekend work required, usually as part of planning or execution of site visits.
