Position Overview:

This position supports the Executive Director of the Aspen Institute Business & Society Program (BSP) and other members of the staff, as required, especially for these critical functions:

  • Relationship Management: direct support for communicating and maintaining superior relations with key constituents including the Aspen BSP Advisory Board, current/prospective donors and sponsors, senior staff of the Aspen Institute, and partners and members of BSP networks and programs.
  • Calendar Management: coordination of the ED’s schedule and travel; tracking and management of meetings with key stakeholders and staff meetings.
  • Meeting & Event Preparation: support of ED’s meetings and events, including materials prep, agenda development, advanced briefing, and follow-up; attends meetings as needed.
  • Communications: triage and assure timely response to internal and external inquiries and requests; manage follow-up on a wide variety of topics and priorities.
  • Fundraising: conduct research and actively support administration related to grant and sponsorship proposals and pitches, including relationship management and communication with foundation program officers, executives, and high net worth individuals, as well as pitch materials development and editing.
  • Budgeting, expense tracking, and invoicing: support Aspen BSP budgeting activities and invoice management, including coordination with other key staff who invoice and track program expenses.
  • Thought Leadership: support administration related to ED’s speaking engagements, blog posts and placements, and book promotion by managing inbound requests, pursuing new placements and opportunities, and preparing and editing materials.
  • Institute Administration: coordinate with leadership and administration at the Institute’s DC headquarters, assist with oversight of the NYC office, submit and manage filings on personnel changes and appraisals, and schedule and support quarterly reports for and meetings with EVP.

Position Logistics:

  • Salary: The range for this position is $65,000 -$70,000.
  • Benefits: The Aspen Institute offers competitive benefits.
  • Location: This position will be based in New York, with an expectation to be in the New York office at least 3 days per week, in coordination with the ED’s schedule.

Required and preferred skills and experience

We are seeking:

  • An excellent writer – e.g., email correspondence and copy-editing capability.
  • A “people” person – the right candidate will communicate respect and deep appreciation for those who commit time, energy, and resources to fulfill our mission, and will contribute to a friendly and supportive team and office culture.
  • Flexibility, creativity in problem solving, and patience required to fully support the ED and other staff carrying heavy workloads at peak times during the year.
  • Competence and comfort with technology hardware and software including Outlook, Excel, PowerPoint, Zoom, et al.  
  • Detail oriented.
  • 3-5 years of experience in an administrative or executive assistant function.
