Senior Manager, Operations

Location: Washington, DC

 Communications Department:

The objectives of the Communications Department are to increase engagement with and enhance the reputation of the Aspen Institute brand, promote the work of individual Institute programs to help them reach their target audiences and achieve specific missions, and serve as a collaborative partner who recommends and executes strategic communications approaches. The department oversees all external communications efforts including the Institute website, social media, media relations, digital editorial content, video, and graphic design.

 Basic Function:

 This position plays a pivotal role supporting the Vice President and the department as a whole. A systems and task-driven position in support of the department’s mission, the Senior Operations Manager oversees the day-to-day operational and administrative functions for the department, supports strategic planning, and creates systems that contribute to the efficacy and efficiency of the team. The Senior Manager provides general support to the department, including project management and office management, by identifying and resolving administrative issues, and applying implicit and intangible institutional knowledge to guide the team’s use of department and institutional resources.  This position reports directly to the VP, Communications and Marketing

Essential Duties and Responsibilities:

  • Manage day-to-day operational and administrative aspects of the department, troubleshooting and resolving problems as needed
  • Support budget management, financial planning, and accounting
  • Manage the flow of administrative work for the department, including accounts payable and receivable processing
  • Coordinate the administration of the department’s procedures and systems
  • Manage the process of team onboarding and offboarding
  • In partnership with division leads, draft, manage and monitor the implementation of contracts, corresponding amendments, facilitate Due Diligence team review of contracts and amendments, ensure on-time payment of invoices, and contract revisions
  • Provide project management for high-level departmental projects, coordinating activities, tracking assignments and deadlines, and maintaining project files
  • Coordinate departmental licensing for shared software, services, and staff devices. Track dates for expiration or renewal, coordinate payments as appropriate, and arrange purchase of new equipment as needed
  • Serve as key liaison with Aspen central departments including financial services, accounting, human resources, legal, and information technology
  • Develop and maintain a dashboard of metrics for the team
  • Work in tandem with VP to support staff with professional development goals and financial planning for any necessary growth opportunities
  • Research, identify, and/or design new systems as needed to improve team processes
  • Assist in planning and executing department retreats
  • Contribute to team-wide learning and knowledge management, including drawing on and contributing to other Aspen Institute programs and resources
  • Participate in and contribute to ongoing growth to advance equity, diversity, and inclusion internally and externally

Knowledge, Education and Experience:

  • B.A./Associates degree or relevant work experience preferred; a minimum of 7 years of office experience, including experience with budgets, office management, communications, and strategic planning.
  • Knowledge of the nonprofit sector and philanthropy
  • Ability to work independently, with staff and a variety of constituencies
  • Must possess good leadership qualities at all times
  • Must have good organizational, customer service, analytical, coordinating and problem-solving abilities
  • Ability to handle multiple tasks, shift priorities quickly, and adapt to a changing environment
  • Experience with a variety of software programs, including Microsoft Word, Excel and PowerPoint
  • Demonstrated ability to work effectively with diverse audiences and proven ability to effectively interface with all levels of management
  • Ability to handle sensitive information with the utmost discretion
  • Ability to remain flexible and positive
  • Strong written and verbal communications skills
  • Strong project management skills with a “problem solving” orientation
  • Good at multi-tasking and detail-oriented
  • Some supervisory experience
  • Experience and passion for establishing organizational systems to improve efficiency and functioning in a changing environment;
  • Experience meeting deadlines and exhibiting grace under pressure while balancing competing priorities;
