OFFICE AND CONFERENCES SERVICES


The Office and Conference Services team is responsible for providing extraordinary customer service to Aspen Institute staff and guests at all Institute corporate offices. The primary goal of the department is to provide operational support that enables programs to fulfill their missions. We do this by ensuring operations in a variety of services including office administration, workspace experience, event services and support, facilities management and tenant relations.



ABOUT THIS ROLE

The Aspen Institute is seeking a detail oriented and energetic Hospitality Assistant for our New York office. This position must possess a strong customer service background, high degree of professionalism and the ability to multi-task. The individual will be responsible for set-up and breakdown of conference rooms, cleaning of the pantry, reception, hoteling area, and conference rooms at the end of the day. Cleaning and heavy lifting is required. Applicants with a minimum of two years customer service and 1 year of similar work experience are strongly urged to apply.

The Hospitality Assistant is responsible for the daily care and upkeep of Aspen New York office. This positionis expected to work up to 10 hours per week. The hourly rate for this position is $23/hr.

WHAT YOU WILL DO

  • Handle the setting up of the main conference room, including staging and moving conference room furniture and A/V equipment.
  • Ensure clean office floors by sweeping, mopping, scrubbing, or vacuuming them. When needed, follow procedures for the use of chemical cleaners and power equipment to prevent damage to floors, carpets and fixtures.
  • Clean glass in both conference rooms and offices ladders, as well as dusts furniture, plants, light fixtures and walls (sometimes requiring usage of ladders).
  • When needed, remove stains from such surfaces as rugs, drapes, walls, and floors using chemicals and cleaning solutions.
  • Clean and vacuum carpeted areas, including application of spot cleaning treatment.
  • Gather and empty trash throughout the office.
  • Wipe and clean tabletops, chairs, and equipment in food areas.
  • Responsible for upkeep of janitor’s closet, ensuring a neat and orderly maintenance of equipment and keeping it in good working order.
  • Ensure compliance with Aspen Institute policy and procedure operations for office equipment.
  • Miscellaneous duties as assigned.


WHAT YOU WILL NEED TO THRIVE

  • One to three years’ related office experience and/or training.
  • Possess a strong customer service background, high degree of professionalism and the ability to multi-task.
  • Ability to lift 50lbs to move furniture and packages.
  • Evening work required.
