Program Coordinator- Public Programs

Location: Washington, DC

The Aspen Institute:

The Aspen Institute is an educational and policy studies organization based in Washington, DC. Its mission is to foster leadership based on enduring values and to provide a nonpartisan venue for dealing with critical issues. The Institute has campuses in Aspen, Colorado, and on the Wye River on Marylandís Eastern Shore. It also maintains offices in New York City and has an international network of partners.

Public Programs:

Public programs open the Institute to wider audiences, offering opportunities to engage in thoughtful, nonpartisan inquiry. They range from major conference- such as the Aspen Ideas Festival, CityLab, and the Aspen Security Forum- to more intimate discussion series. Programs take place in Aspen Colorado; Washington, DC; New York City; San Francisco; and other locations in the US and abroad.

Program planning for 2019 includes such public programs as the Aspen Ideas Festival 2019, CityLab, the Aspen Institute Summit on Inequality & Opportunity and other public programs as assigned. Additional public events and programs of the Aspen Institute may be included as opportunities arise.

Essential Duties and Responsibilities:

Administrative Responsibilities

Assist with administrative and programmatic details pertaining to public programs including:

  • Database creation and management for public programs, including researching presenter contact information, prior Aspen Institute events and invitations, etc;
  • Correspondence (drafting, typing, forwarding)
  • Management of VPís schedule as needed, including scheduling conference calls and reserving conference spaces
  • Program billing as appropriate
  • Provide phone & e-mail support for the VP as needed

Programmatic Responsibilities

Support the Public Programs Department in the preparation and development of public programs and events including:

  • Manage aspects of various budgets including but not limited to budget reconciliation and bill payment
  • Administration of invitations to attendees and presenters on behalf of public programs; management of responses
  • Solicit biographies and headshots of program presenters;
  • Assist with the development and execution of various Public Programs projects and events including CityLab, the Aspen Ideas Festival, The Atlantic Festival, the Aspen Institute Summit on Inequality & Opportunity, and other projects as they arise and as directed by supervisor
  • Work with speakers to confirm travel and other logistics as assigned and in coordination with key Institute staff;
  • Manage varying aspects of event planning as necessary, including such projects as off campus venue development, local marketing;
  • Work with Communications staff on marketing, web content, and program materials
  • Coordinate, as necessary, sponsor communications and execution of sponsor contracts;
  • Coordinate, as necessary, various aspects of event implementation and execution.

Principal Interactions:

Interacts routinely with members of the Communications team, external vendors, and Aspen Institute employees at-large.

Knowledge, Education and Experience:

Qualified candidates should have the following:

  • Strong organizational skills, self-motivated, detail-oriented and has an eye for the big picture
  • Excellent written and oral communications skills
  • Proficiency in Microsoft Office Suite especially Word, Excel and other database programs including Google Docs, Salesforce
  • Bachelorís degree required
  • 2-3 years of work experience
  • Event organization, administrative experience, and intellectual curiosity a plus!
  • Some travel required
  • Note: long hours are expected at times

Level of Authority:

  • Non-supervisory position
  • No budget authority
