Part-time Administrative Assistant- Stevens Initiative

The Stevens Initiative

The Stevens Initiative is an international effort to build global competence for young people in the United States and the Middle East and North Africa (MENA) by growing and enhancing the field of virtual exchange: online, international, and collaborative learning. The Initiative is a lasting tribute to the legacy of Ambassador Chris Stevens and aims to offer an unprecedented number of youth the opportunity to connect in the United States and the Middle East and North Africa virtually in sustained and meaningful ways. Basic Function:

The Administrative Assistant is responsible for providing general administrative support and assistance to the programís Executive Director and other staff of the program. This will also include assisting with event planning, communication efforts, preparing and processing expense reports, and supporting other aspects of the organizationsí work, as needed. This is a part-time position. 

Duties and Responsibilities:
  • Assist Executive Director with the administration of Stevens Initiative efforts;
  • Schedule meetings;
  • Maintain databases;
  • Process reimbursement requests, expense reports, and perform related administrative tasks;
  • Prepare letters and other documents with minimal supervision and superior writing skills;
  • Conduct online research, under supervision of Executive Director, of potential funding sources, foundations, and partners;
  • Assist Stevens Initiative team members with grantee support as needed;
  • Investigate potential project venues, help staff events, and perform event follow-up;
  • Check the Stevens Initiative email inbox and ensure all queries have been read and responded to, as appropriate;
  • Other administrative duties as assigned.
Knowledge, Education and Experience: 
  • Associate or Bachelorís degree in a relevant field;
  • Experience writing, editing, and proofreading, at a professional level;
  • Experience with webpage editing and maintenance and social media tools, a plus;
  • Proficiency in Microsoft Office required, and Concur, and Salesforce preferred;
  • Strong attention to detail, and ability to work independently, prioritize, and multi-task;
  • Excellent written and oral communication skills;
  • Strong interest in and support for the mission of the Stevens Initiative
  • A positive attitude with a can-do mindset and excited to be part of a cohesive team in a fast-paced environment.

Level of Authority:

  •  Non-supervisory position
  •  No budget authority
