About the Role

With support from the Director, Operations and Strategy, the Program Associate takes the lead on operational and administrative support for AGI’s fellowship programs and Salesforce platform. The Program Associate will also help to organize and track the Fellowships monitoring and evaluation system. The Program Associate will work closely with the Executive Director, Program Director, Associate Directors, interns, and other Aspen staff.

Key Responsibilities

Salesforce administration

• Monitor and help to manage project performance and fellows’ nominations as well as specific project activities against key milestones, deliverables, and timelines
• Lead a deep understanding and document the fellows’ journey and leverage data within Salesforce to develop actionable insights, create and execute CRM strategies that influence behavior and actively monitor results to drive deeper engagement and fellow satisfaction
• Lead the development of a regular Salesforce reporting tool that analyzes the effectiveness of strategies and is easily shared with Executive Director and other members of AGI’s team
• Perform hands-on tasks by leveraging Salesforce out-of-the-box capabilities, 3rd party apps and custom development
• Work with Program Director and key members of Aspen Institute’s development team to implement new Salesforce products and features
• Oversee the development and implement Salesforce changes that address current and future fundraising needs

Finance and Contracts

• Supervise all contracts, invoicing and payments for fellowship consultants
• Identify and manage third-party contractors to assist fellows with visa and travel arrangements for fellowship meetings

Administrative and Communications support

• Coordinate interviews of potential fellows either in person or by phone or Zoom, assist in facilitating regular contact with both the fellows and local consultants
• Work closely with Communications Associate to:
  • Support and promote fellows’ social media activities through Twitter, Facebook and other platforms
  • Lead the development and execution of Salesforce CRM strategies to support internal and external brand growth campaigns including regular reporting that measures the performance of each strategy.
  • Assist in planning key events each year as help to identify and coordinate speaking opportunities for fellows at major conferences and meetings

Principal Interactions

This position reports directly to the Executive Director. Works closely with AGI’s Director and other key AGI staff.

Key Qualifications

Minimum 3-5 years experience in project management involving global issues, particularly those related to Africa, global health, agriculture, the environment, microfinance, family planning, or reproductive health issues. Advanced educational degree is a plus, but not a requirement.

• Excellent management skills, including an ability to juggle multiple projects over several time zones.
• Knowledge of and experience in the cutting-edge and rapid changes now underway in mainstream media, social online media, and the communications field in general.
• Hands-on experience managing websites, social media accounts and/or editing projects
• Exceptional communication skills and demonstrated expertise in working well with multiple partners, managing conflicts as they arise, maintaining project team morale, camaraderie and effective team work.
• Experience with Salesforce a must, Proficiency with CRM Cloud Apps/Platforms preferred
• Salesforce licensing and/or certifications are a plus, but not a requirement.
