Timeline for internship program:

  • Application opens: Sep 15, 2022
  • Application deadline: Oct 15th
  • Interview dates: Oct 15th - Nov 1
  • Employment notification: Early November
  • Position start date: December 5
  • Position end date: End of March (Flexible)
  • Hours per week: Option to start at fewer than 40 hours per week but must be able to commit to, working up to 40 hours a week by January. Overtime will be paid as applicable.

* Must be available to travel to Miami Beach for Aspen Ideas: Climate, which will take place March 6-9, 2023. All travel and lodging expenses will be covered.


$17.00 per hour plus 1.5 pay for overtime hours

Basic Function:

Aspen Ideas: Climate will convene local and global policymakers, scientific experts, inventors and innovators, artists, influencers, and engaged members of the public to interact, learn, and address our collective future around the realities of a changing climate. The event will feature a variety of programming including but not limited to mainstage discussions, breakout panels, private roundtable discussions, art exhibitions, and field trips. Aspen Ideas: Climate will bring together a dynamic mix of experts and young leaders to share, listen, and inspire.

Essential Duties and Responsibilities:

  • Work primarily with the Aspen Ideas: Climate Speaker Management Team on all aspects of Aspen Ideas: Climate speaker needs, including but not limited to, managing speaker registration, coordinating travel and lodging for speakers and moderators, database entry, cross-checking data and proofreading communications
  • Managing speaker registration processes by monitoring online registration form, maintaining speaker database, as well as collecting bios, headshots, copyright agreements, and personal information
  • Coordinate the Aspen Ideas: Climate bookstore
  • Assist with staffing needs of events, lectures, and seminars
  • Prepare invitations, reports, spreadsheets, correspondences, and mailings as requested
  • Troubleshoot issues during Aspen Ideas: Climate regarding speaker participation and logistics

Additional projects as requested by department supervisor, for example:

  • Coordinate Aspen Ideas: Climate book signings
  • Organize photo database via web interface
  • Manage speaker thank you project

Knowledge, Skills, Education and Experience:

  • High attention to detail (proofreading and identifying key information)
  • Strong research skills (articles and facts/stats)
  • Outstanding written and verbal communication, organizational, and time management skills
  • Ability to maintain discretion and confidentiality with sensitive information
  • Event production/execution experience preferred
  • Ability to work in a fast-paced environment
  • Strong technology literacy and proficiency
  • Must be enrolled in or recent graduate of an accredited college
  • Knowledge or background in environmental / climate change work is a plus

Other requirements:

  • Valid driver's license
  • Authorized to work in the US
