Basic Function:

The Concierge aids the guests of the Aspen Meadows and is the Aspen Institute liaison for program directors and their participants.  The Concierge acts as the primary contact between the guest and the hotel for any and all matters that the guest wishes. The Concierge will be responsible for the reservations and coordination of daily activities and adventure trips for our guests. Will use knowledge of Aspen area and Roaring Fork Valley promote activities that the guests are looking for. Works closely with the Front Desk and Guest Services in communicating guest activities.

Essential Duties and Responsibilities:

  • Listen attentively and fulfill activity, dining and entertainment requests for guests. In conversing with guests, anticipate needs and offer additional assistance where possible. Use discretion as appropriate.
  • Have a thorough and up to date knowledge of all activities, events, dining and entertainment options in the area.
  • Have a thorough and up to date knowledge of banquet and meeting events on property, i.e. time, location and speaker.  Communicate with program directors about any scheduling or event changes and keep itineraries on hand to provide to participants if needed.
  • Prepare a concierge binder for Aspen Meadows and Airport concierge staff that includes attendee contact info, arrival/departure times and flight numbers, as well as hotel information.
  • Conduct oneself in a friendly, courteous and professional manner in meeting guests’ needs.
  • Keep literature on hand of all local recreational areas for guests.
  • Receive and print e-mails and faxes for guests.
  • Assist guests with FedEx shipping forms, rules and information.
  • Amenity Requests - Internal and External such as Flowers, Food and Beverage Amenities, Gift Baskets, etc. Ensure items are ordered/delivered as needed.
  • Dining Reservations - Be familiar with menus, opening/closing times of restaurants in the area. Actively recommend and encourage dining at internal outlets.
  • Airline Items - Print boarding passes, confirm flights, and make changes as well as assist with lost luggage tracking and retrieval.
  • Transportation – book shuttle service or outsource vendor.
  • Communicate with the following departments using radio, telephone, Nuvola, email or in-person as required:
    • Engineering (for guest room issues and requests)
    • Housekeeping (for items such as guest service times/requests, needs and room related requests)
    • Front Desk (for items such as guest billing, wake up calls, late check out and early arrival requests)
    • Bell (for items such as guest room deliveries, guest check out requests, luggage assistance/storage, shipping and receiving inquiries)
  • MOD – Bring MOD guest issues/complaints in a quick and timely manner.
  • Needs to be able to quickly solve problems.
  • Is an outdoor enthusiast with extensive knowledge of area
  • Attends Daily Operations meeting.
  • Develop excellent communication tools to promote this service.
  • Develop relationships with restaurants, shops, clubs, barber and beauty salons, car rental agencies, florists, health clubs, recreational vendors, ticket outlets, etc. to help facilitate all guest requests.
  • Is aware at all times of the scheduled activities in the city; i.e. theater, the arts, special exhibits, concerts, shows, sports and leisure activities;

Additional Job Duties

  • Report to work in a neatly groomed and acceptable manner.
  • Report to shift on time and depart shift on time unless approved for overtime.
  • Is familiar with hotel fire and safety procedures. Assist in emergency and security procedures as directed by management.
  • Complete tasks and projects delegated by your manager and assist other departments as business volumes and staff levels demand.

Service Standards:

  • Eye contact should be made at a distance of no less than 10 feet from every guest.
  • A genuine smile should be offered at a distance of no less than 5 feet from every guest.
  • Employees should build rapport with guests during any conversation, if the guest responds to the initial statement with a conversational demeanor.
  • Guest last name is used effectively, but discreetly, as a signal of recognition as least once and not more than twice during any conversation with guests.
  • Before concluding conversations, the guest is verbally offered additional assistance with a statement relevant to the guest’s individual needs.

Education/Experience:

  • Must be 18 years of age or older.
  • High school or equivalent education required.
  • Must be able to speak, read, write and understand the primary language(s) used in the workplace.
  • Must be able to read and write to facilitate the communication process.  
  • Requires good communication skills, both verbal and written.
  • Must possess basic computer skills.

Work Environment:

  • Must be able to work effectively in a stressful environment, communicate with others, effectively deal with customers and accept constructive criticism from supervisors.
  • Must be able to change activity frequently and cope with interruptions.

Rate:

  • Hourly $20/hour

The Institute has implemented a mandatory COVID vaccination policy for all employees who will work at one of our physical locations, attend any of our in-person events or travel on behalf of the Institute. Staff unable to be vaccinated may request an exemption under certain circumstances.
