Program Coordinator

All share the common experience of participating in one of the Aspen Institute’s various leadership Fellowships.

The Henry Crown Fellowship Program, established in 1997, is the flagship initiative of the Aspen Global Leadership Network. It seeks to develop the next generation of community-spirited leaders, providing them with the tools necessary to meet the challenges of business and civic leadership in the 21st century. The Fellowship is a unique mix of seminars designed to broaden the perspectives of the participants and hone their skills in values-based leadership. It honors the memory of Chicago industrialist Henry Crown (1896-1990), whose legendary career was marked by a lifelong commitment to honor, integrity, industry and philanthropy.

Basic Function:

The Program Coordinator works as part of a team alongside the Director of Impact & Engagement and Senior Program Associate to assist in the creation of and actualization of the Fellow impact within the Henry Crown Fellowship Program through support of:

  • Fellow Impact Platforms (Board of Director Placement Initiative, Speakers Platform, Press Bureau);
  • Leadership Ventures – cornerstone component of the Henry Crown Fellowship;
  • Board of Overseers interactions, governance, and meetings;
  • Alumni cross class events and activities;
  • Fellow Interconnectivity (Front Page, Class Re-launches, Social Media, WhatsApp);
  • Responsibilities include assisting with coordination of events and supporting the Director of Impact & Engagement and the Senior Program Associate.

Essential Duties and Responsibilities:

The Program Coordinator is expected to commit to supporting the Henry Crown Fellowship in the achievement of the Program goals. Essential duties and responsibilities are as follows. Other responsibilities may be added as necessary:

Fellow Impact Platforms:

  • Board of Director Placement Initiative: Update and maintain Fellow Board database and develop customized HCF board slates.
  • Speakers Platform: Help roll out the Speakers Platform by developing a list of Fellows who manage regional events, developing a list of agents, and creating a database of Fellows by topics that they prefer to speak on.
  • Press Bureau: Provide support where needed for Fellows who write books.
  • Support ventures by updating venture profile documents, provide research for Fellows, find venture connections, and update the EA briefing document.

Alumni Event Coordination:

  • Assist in coordinating and planning multi-class gatherings, regional events and ongoing activities for current and graduated Fellows both in-person and virtual.
  • Support the planning of Henry Crown Fellowship events during the Resnick Aspen Action Forum.
  • Assist with arranging event schedules, meals, hotel accommodations, ground transport, meeting space, AV requirements, etc. as needed.
  • Correspond with participants, trustees, Overseers and staff on seminar/meeting details to ensure full participation.
  • Assist with maintaining the alumni reunion tracking document.
  • Ensure that vendors, moderators and others receive payment/reimbursement immediately after the seminar/meeting.
  • Process contracts through the Aspen Institute’s DDR team when applicable.
  • Travel to conference sites and provide staffing as needed.
  • For virtual meetings, handle the logistics and mechanics for Zoom meetings and other online platforms.
  • Other duties as required during an event.

Fellow Interconnectivity:

  • Assist with managing social media platforms (Facebook, LinkedIn, Twitter and Instagram) by checking daily to find relevant content to share and repost. Assist with developing ideas on ways to engage the Fellows through these platforms.
  • Assist with editing and disseminating event emails and class re-launches.
  • Assist in the creation and administration of statistical data for the purpose of connecting Fellows.
  • Provide support in the creation of Program marketing materials and online resources.

Administrative Responsibilities:

  • Maintain Program data, including Salesforce, Outlook, Luminate, and other associated programs.
  • Coordinate travel, meetings, and logistics for program constituents (Staff, Fellows, Moderators, Overseers).
  • Maintain communications through email, phone, mail, social network sites and with other Aspen programs.
  • Assist with developing and preparing fundraising materials
  • Maintain financial records and receipts for Director of Impact & Engagement and process credit card reports monthly through Concur.
  • Process invoices, expenses, reimbursements, etc. in a timely manner.
  • Assist with editing HCF annual report for Development team.
  • Assist with preparing materials for biannual Board of Overseers meetings.

  • Executive Director, Director of Impact & Engagement, Senior Program Associate – Fellow Impact; Program Manager for Sourcing and Fellow Selection, the Senior Program Associate for Seminars, and Program Coordinator
  • Current and graduated Fellows
  • Aspen Institute Global Leadership Network Team and other Aspen Institute staff
  • Aspen Institute Trustees, Overseers, and Moderators

Level of Authority

  • Non-supervisory position
  • No budgetary authority

Knowledge, Education and Experience

  • Alignment with the mission of the Aspen Institute and the Henry Crown Fellowship.
  • Comfort with ambiguity, quickly adaptive environment.
  • Excellent written communication skills.
  • Detail-oriented, patient, analytical, and collaborative employee who excels at problem solving and design thinking.
  • Self-motivated and reliable, with a high capacity for independent work, strong follow-through, and rigorous attention to detail.
  • Comfort with working in and learning new databases like Salesforce 
  • Strong desire to work on the coordination and execution of meetings and events, project management, and programmatic support.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, Outlook, design software (InDesign is a plus); and other database programs.
  • Aptitude for using web-based tools, including social networking platforms, conferencing tools and other media to keep Fellows engaged.
  • Ability to handle multiple, often complex, tasks at one time.
  • Event organization, administrative experience, intellectual curiosity, and a sense of humor a plus!
