Basic Function

Aspen BSP seeks a candidate to fulfill the role of Program Coordinator within the Business Education Team. The Program Coordinator provides organizational, administrative and development support and is essential for the delivery of high-quality, unique programing for leading scholars, deans and business managers. This position offers the right candidate the opportunity to grow professionally, learn from and interact with experts in business and education, and develop a broad skillset while contributing to strategic design sessions and content creation. The Aspen BSP team is looking for a someone with an interest in shifting norms within business and our economic system and brings with them exemplary organizational skills. They must have an established record of working proactively with high attention to detail and can effectively prioritize their work. The candidate must be able to communicate clearly and professionally with Aspen BSP stakeholders, including faculty, deans, and senior executives.  The right candidate demonstrates a strong sense of integrity, humility, as well as humor, and approaches both large and small tasks with enthusiasm.

Job Responsibilities

The Program Coordinator reports to the Program Manager and will be expected to work from the New York Office on a regular basis. They will be responsible for the following:

Implementation of Programming Initiatives / Project Management:

  • Create project plans and manage the distribution, follow-up and tracking of tasks and milestones
  • Address risks and issues affecting project deadlines, and maintain clear and consistent communication on status
  • Work with the Communication Manager on the implementation of communication plans for initiatives and events

Relationship Management and Recruitment

  • Execute recruitment strategy for participants, speakers and facilitators involved in programming
  • Develop and maintain participant databases
  • Perform primary and secondary research on topics, companies, universities and scholars related to fundraising, recruitment and content development
  • Prepare and track invoicing for any membership payments

Event Management & Material Preparation

  • Design, prepare and distribute event materials and post-event reports
  • Create pre-and post-event surveys and synthesize survey findings
  • Participate in events/seminars/calls and synthesize findings for participants and other audiences


  • Investigate technical solutions / digital products that may improve processes related to operations, relationship management, and communications
  • As a member of the Aspen BSP team, the Program Coordinator may be asked to take on similar responsibilities for other Aspen BSP programs throughout the year, as required

Desired Qualities and Experience:

  • Demonstrated ability to work on multiple, time-sensitive projects in a rapidly changing and fast-paced environment
  • 1-3 years of experience providing program management support
  • Strong relationship management and communication skills including the ability to engage with a variety of internal and external partners and collaborators
  • Familiarity with web-based tools (Constant Contact, WordPress, Squarespace, SurveyMonkey, SharePoint etc.) and ability to identify and test new tools for potential use by the wider team

Additional knowledge and skills that are of interest to the Aspen BSP Team:

  • Experience or knowledge of business school curriculum
  • Design acumen and ability to create layouts for reports, presentations, and web pages
  • Experience in business development or fundraising
