Financial Systems Manager

Department: FINANCE AND ACCOUNTING
Location: Washington, DC

The Aspen Institute†is an educational and policy studies organization based in Washington, DC. Its mission is to foster leadership based on enduring values and to provide a nonpartisan venue for dealing with critical issues. The Institute has campuses in Aspen, Colorado, and on the Wye River on Marylandís Eastern Shore. It also maintains offices in New York City and has an international network of partners.

Basic Function:

The Financial Systems Manager is responsible for overseeing all financial systems attached to the core accounting software, including Host Analytics, MIP, SAP Concur, Paylocity and other systems as added. This position also supervises the Financial Systems Specialist.

Responsibilities:

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Responsible for the accuracy and data integrity of the Instituteís core financial systems.† Ensure calculations, business rules and architecture are appropriately configured. Responsible for maintaining each applicationís security structure based on end-user roles and responsibilities.† In conjunction with IT, ensure application set-ups are complete and system controls are properly implemented.† Perform quality assurance, security and data integrity checks regularly. Develop and maintain constructive and cooperative working relationships with Office of Financial Operations, ITS, and all end users of financial systems.

  • Work with VP Finance and CFO to develop annual budget process; includes gathering necessary budgetary assumptions and building into Host system and communicate to staff.

  • Provide accurate and timely responses to users' questions or issues with financial systems.† Open support incidents with vendors, troubleshoot and escalate issues as necessary.

  • Interfaces with management and ITS to develop and improve current systems and recommend improvements and enhancements to current systems or suggests new solutions as necessary.

  • Works closely with Office of Financial Operations team to investigate, analyze and resolve system issues encountered by users.

  • Collaborate with the Financial Learning Specialist to train staff on how to use the financial reporting systems, conduct group training and individual sessions as needed, and develop training and reference material.

  • Build and maintain structures and dimensions used in financial systems for reporting needs.

  • Flexibility to work on special projects and unexpected assignments while completing routine tasks on a timely basis.

  • Apply intellect, creativity, adaptability, judgment, and management skills to achieve required results.

  • Perform other duties as requested or assigned.

Principal Interactions:

The Financial Systems Manager will work closely with the VP of Finance and the Office of Financial Operations; as well as internal customers from all areas of the Institute. Position also serves as liaison with all third party vendors associated with financial systems.

Qualifications/Requirements:

  • Bachelor's degree in Finance, Accounting or equivalent field

  • At least 7 years' experience in financial systems administration and implementation;

  • Advanced Excel skills are essential;

  • Experience with system development and administration;

  • Excellent written and verbal communication skills;

  • Extremely organized, detail-oriented and able to manage multiple projects simultaneously;

Travel:

Travel to all Aspen locations is required possibly quarterly. Aspen offices are in DC, MD, NYC and Aspen, CO.
