Program Assistant

The Stevens Initiative

The Stevens Initiative is an international effort to build global competence for young people in the United States and the Middle East and North Africa (MENA) by growing and enhancing the field of virtual exchange: online, international, and collaborative learning. The Initiative is a lasting tribute to the legacy of Ambassador Chris Stevens and aims to offer an unprecedented number of young people the opportunity to connect youth in the United States and the Middle East and North Africa virtually in sustained and meaningful ways. Basic Function:

The Program Assistant is responsible for providing general support and assistance to the Stevens Initiative team. These responsibilities will include assisting with event planning, managing relationships with constituents and other stakeholders, processing financial transactions, and supporting other aspects of the programís work, as needed.

Essential Duties & Responsibilities

  • Assist Executive Director and Managing Director with calendar and email management and other correspondence;
  • Process the Executive Director and Managing Director financial reports in Concur;
  • Conduct online research and draft briefs, under supervision of Executive Director, of potential funding sources, foundations, and partners;
  • Assist staff with administrative tasks associated with events, including but not limited to:
    • Contacting/following up with invitees and event invitations;
    • Coordinating logistics for events including working with external vendors;
    • Providing on-site support during events.
  • Make basic updates to the website and social media platforms;
  • Develop internal weekly brief on news, upcoming events, and highlights of practitioners and thought leaders that are relevant to the work of the Stevens Initiative
  • Input and manage data records using Salesforce;
  • Check the Stevens Initiative email inbox and ensure all queries have been read, delegated, and responded to, as appropriate;
  • Assist with grantee support as needed;
  • Assist staff with scheduling and booking team travel arrangements;
  • Act as the administrative liaison for staff meetings; inform the staff of scheduled meetings and ensure the distribution of material in advance of the meeting;
  • Act as a note taker for various meetings and conference calls;
  • General office support and other administrative duties as assigned.

Key Requirements:

  • Bachelorís degree
  • Experience using Salesforce or other constituent management software
  • Extremely high attention to detail and appreciation of detail-oriented tasks
  • Excellent communication, organizational, and writing skills
  • Solutions-focused thinker with a positive, can-do attitude
  • Strong ability to help others be organized and efficient
  • Experience supporting multiple projects at the same time
