Summer Staff Ė SOF Institutional Advancement Assistant

Department: ADVANCEMENT
Location: Aspen, CO

The Aspen Institute is an educational and policy studies organization based in Washington, DC. Its mission is to foster leadership based on enduring values and to provide a nonpartisan venue for dealing with critical issues. The Institute has campuses in Aspen, Colorado, and on the Wye River on Marylandís Eastern Shore. It also maintains offices in New York City and has an international network of partners.

Basic Function: 

This position serves an important role in the success of the busy summer by supporting the cultivation and stewardship of current and new members. Duties include answering phones, scheduling meetings and appointments, research, preparing bios, briefing team and senior staff on event attendees and relationship goals, entering contact reports and actions in the database, drafting letters, preparing appeals, supporting event execution, and providing general administrative support to the Director, Society of Fellows and other senior development staff. This position is a temporary summer-only position. 

Essential Duties and Responsibilities:

  • Provide administrative support for the Director, Society of Fellows, including answering phone, drafting letters, arranging meetings, travel, calendar management, bill payment, etc.
  • Field general inquiries in person, on the telephone, and at events regarding giving and engagement opportunities and responding or proactively connecting others as appropriate. Following up to make sure desired outcomes are achieved.
  • Support cultivation of new donors through pulling database lists, reviewing activity for trends, researching individuals, drafting bios, drafting of letters, execution of mailed membership appeals, drafting emails, coordinating communications, etc.
  • Collecting and entering meeting and event donor contact reports in database and assuring follow-up actions tracked.
  • Coordinate and staff small private dinners as requested. Duties depend on host and venue and range from check-in and welcoming attendees to planning menus, staffing, etc.
  • Assist with hands-on projects for the department as requested, including providing administrative support to visiting senior development staff, supporting day-to-day department operations and execution of events, including mailings, phones calls, nametags, event check-in, processing payment requests, and general office and administrative support.

Principal Interactions:

Primarily responsibility is to support the Director, Society of Fellows and senior visiting development staff. Routinely interacts with members of the Society of Fellows team, the OIA team, Society of Fellows members and Trustees, and Institute staff and attendees in general.

Knowledge, Education, and Experience:

  • Bachelorís degree
  • At least 2 years experience in an office or professional environment or equivalent customer services roles working with professional level clients
  • Highly organized and proactive worker. Must be a completion-focused person who can work comfortably in a high-paced very detailed oriented team environment while managing their proprieties, deadlines
  • Must be able to comfortably step in to help provide support to various team members and managers on projects as needed
  • Excellent administrative and organizational skills, with an emphasis on time-management and the ability to organize and implement various activities within a deadline-pressured environment
  • Keen sense of personal integrity and discretion with handling sensitive information
  • Excellent interpersonal skills and experience working with high-level colleagues and members Ability to represent the Institute in the competent, knowledgeable, and professional manner
  • Excellent writing skills in email, letters and marketing, including high-level proofreading
  • Proficiency with Microsoft Office, including Outlook, Excel and Word, the internet and virtual communication techniques.
  • Ability to quickly master project management software (Teamwork experience preferred)
  • Ability to quickly master fundraising database software (LCRM experience preferred)
  • Ability to quickly master donor research databases and work with data to identify trends and opportunities

Level of Authority:

  • Non-supervisory position
  • No budgetary authority

Note:

  • Opportunity to build development and fundraising skills from experienced team
  • Opportunity to learn high-level event execution, attend development events as staff, and learn about the mission and work of the Institute.
  • Require evening and weekend hours, and occasional overtime. Position begins in mid-May and continues through late August.
