Aspen Ideas Festival Speaker Support Intern

The Aspen Institute, founded in 1950, is an international nonprofit organization dedicated to fostering enlightened leadership and open-minded dialogue.  Through seminars, policy programs, conferences and leadership development initiatives, the Institute and its international partners seek to promote nonpartisan inquiry and an appreciation for timeless values. 

The Aspen Institute Summer Internship Program employs rising college seniors or recent college graduates during the summer months in Aspen, Colorado. Internship opportunities are available in the following departments:  Development, Seminars, Administration, ITS, Conference Services, and Public Programs. All internships are paid positions.

The Aspen Institute’s Mission The Aspen Institute is an educational and policy studies organization based in Washington, DC. Its mission is to foster leadership based on enduring values and to provide a nonpartisan venue for dealing with critical issues. The Institute has campuses in Aspen, Colorado, and on the Wye River on Maryland’s Eastern Shore. It also maintains offices in New York City and has an international network of partners.

Timeline for internship program:

Basic Function:   
The Aspen Ideas Festival is the nation's premier, public gathering place for leaders from around the globe and across many disciplines to engage in deep and inquisitive discussion of the ideas and issues that both shape our lives and challenge our times. Some 450 presenters, 400 sessions, and 3,000 attendees comprise the annual Festival, launched in 2005, on the Aspen Institute's campus in Aspen, Colorado. This position will provide administrative support and general assistance for the Public Programs department which produces the Aspen Ideas Festival, specifically the Speaker team in the management and organization of Ideas Festival Speakers.

Essential Duties and Responsibilities: 

  • Work mainly with Ideas Festival Speaker team on all aspects of Aspen Ideas Festival Speaker needs, including but not limited to, coordinating travel and lodging for speakers and moderators, database entry, cross-checking data and proofreading, copying, answering phones, etc.
  • Assist with speaker registration process by collecting bios, headshots, copyright agreements, and personal information
  • Coordinate the Aspen Ideas Festival bookstore
  • Assist with staffing needs of events, lectures, and seminars
  • Prepare reports, spreadsheets, correspondences, and mailings as requested
  • Troubleshoot issues during Festival 1 and Festival 2 regarding Speaker participation and logistics
  • Additional projects as requested by department supervisor, past projects including:
    • Aspen Ideas Festival Speaker book signings coordinator
    • Aspen Ideas Festival Speaker dinner logistics support and guest list coordinator
    • Speaker off-campus transportation schedule
    • Organize photo database via web interface
    • Aspen Ideas Festival speaker thank you project

  • Valid driver's license
  • The Institute provides housing options to Interns but interns are responsible covering the cost of housing.

 Knowledge, Skills, Education and Experience:  

  • High attention to detail (proofreading, identifying key information)
  • Strong research skills (articles and facts/stats)
  • Outstanding communication, organizational, and time management skills
  • Ability to maintain discretion and confidentiality with sensitive information
  • Event production/execution experience preferred
  • Strong technology literacy and proficiency with the Microsoft Office
  • Must be enrolled in or recent graduate of an accredited college

Applications will be accepted online January 1, 2019 through January 31, 2019. The internship starts May 1, 2019 and will end in early August 2019. This position will require 40+ hours per week and will require overtime during the month of June.
