The Aspen Network of Development Entrepreneurs (ANDE) is a program within the Aspen Institute. ANDE is a global membership network of organizations that propel entrepreneurship in emerging markets. ANDE members provide critical financial, educational, and business support services to small and growing businesses (SGBs) based on the conviction that SGBs will create jobs, stimulate long-term economic growth, and produce environmental and social benefits. Ultimately, we believe that SGBs can help lift countries out of poverty. Launched with 34 members in 2009, ANDE now comprises over 280 members who collectively operate in more than 150 countries.

ANDE is looking for an Events Coordinator, based in our Washington, DC office. This is a one-year, full-time position with an anticipated end date of December 31, 2018. Position may be extended or made permanent if additional funding is secured.

Position Description

You love the satisfaction of a well-organized excel sheet almost as much as the satisfaction of great conversation among guests at your dinner party.  You are cool under pressure and resourceful: when you see a problem, you jump at the chance to fix it. In fact, you have fun putting out fires.  You are looking forward to taking on new tasks and challenges and supporting a global team. The Events Coordinator will lead ANDE’s event planning and execution in 2018.  Events are a central component of ANDE’s goals to serve our members and strengthen the small and growing business sector.  ANDE events are engaging, interactive, inclusive, and fun.  The Events Coordinator will oversee planning for a number of our events, from our flagship annual conference to our global team retreat.  In addition, the Coordinator will provide remote support for events our global team hosts from Singapore to Sao Paulo, and our virtual events and webinars. The Events Coordinator will work closely with the research, membership, and development and communications teams.

The Event Coordinator will manage all stages of event planning, including:

  • Venue Logistics – Manage logistics for ANDE events, including researching external venues, or coordinating with conference services at the Aspen Institute office. Ensure audiovisual needs are met, arrange for catering and outside equipment. 
  • Speaker and Participant Logistics - Make travel and hotel arrangements, as needed. Administer participant scholarships, and manage staff travel arrangements.
  • Event Communication – Manage ANDE events’ digital presence, ensuring consistency across all ANDE events in DC and around the world.  Create event pages, set up and manage registration forms, and develop and distribute marketing materials including email invitations and social media messages.
  • Event Content – support ANDE program staff who are taking the lead on developing the agenda, ensuring programs are printed and speakers secured on time.  Provide input into session format and flow.    
  • Event Execution – coordinate ANDE staff roles and run-of-show for events in Washington, DC
  • Event Partnerships – support fundraising, media partnerships, and other outreach to external partners.
  • Event Budget & Expenses – includes submitting expense reports, processing invoices, producing event revenue and expense reports, and exercising budget discipline by making cost-effective decisions and carefully monitoring expenses throughout the planning process to adhere to established budgets; determine new and innovative ways to reduce costs associated with events.

The ideal candidate for this role:

  • Is organized and detail-oriented: loves Gantt charts, putting together systems and processes, and can juggle multiple projects.
  • Has strong customer service orientation: Can represent ANDE to event participants, support ANDE staff as internal clients, and interface with external vendors
  • Is independent and motivated: Can hit the ground running and take on this new role at ANDE with enthusiasm and capability
  • Has 1 - 3 years of event management or administrative experience, and can demonstrate ability to plan and executive events of varying size and scope
  • Has grace-under-pressure, good judgment, and professional presence.
  • Is a true team player and is excited about engaging with many cultures and learning about the small and growing business sector
