Program Description:

The Stevens Initiative is an international leader in virtual exchange, which brings young people from diverse places together to collaborate and connect through everyday technology. Created in 2015 as a lasting tribute to Ambassador J. Christopher Stevens, the Initiative invests in virtual exchange programs; shares research, resources, and promising practices to improve impact; and advocates for broader adoption. Basic Function:

The Program Coordinator is responsible for supporting the Partnerships and Communications team with the planning, production, and execution of Stevens Initiative Partnerships and Communications strategy and portfolio of work, as well as the overall programs’ various events, engagements and activations.

This position reports directly to the Program Manager. The salary range for this position is $53,000 - $59,000. In accordance with our Reimagining Work policy, the Program Coordinator should be willing to be in-person in the Washington D.C. office with colleagues a minimum of 40% of the time, while having the flexibility to work remotely for the balance. In-person consists of meaningful connections with colleagues in an office, traveling to a different office or location to meet fellow staff members, at an Aspen event, at a meeting outside the office or other opportunities to meet in person with teammates and colleagues.

Essential Duties & Responsibilities

Communications & Events:

  • In collaboration with the Program Associate, Communications, support a communications strategy that raises awareness of and builds support for virtual exchange, reaching audiences at an increasing scale;
  • Contribute to communications and engagement campaigns and special projects, including drafting content creation, coordinating buy-in from team, etc.;
  • Design graphics and materials in Canva;
  • Aid with tracking and managing grantee deliverables (including videos, photos, and impact sharing);
  • Track website and social media analytics to support internal and external reporting needs and to inform strategy;
  • Support with drafting and reviewing communication materials, including monthly e-newsletters, social media posts, website copy, press releases, event collateral, messaging materials, announcements, publications, and emails to outreach lists;
  • Contribute to researching topics and themes that are relevant to the field; monitoring media stories that are directly or indirectly relevant to the Initiative and the field overall; researching media outlets and media personalities for potential cultivation;
  • Coordinate administrative tasks associated with events, including but not limited to:
    • Draft event invitations and event pages using Zoom and Eventbrite; Contact and follow-up with invitees and event invitations;
    • Coordinate logistics for events including working with external vendors and participants;
    • Print, assemble, ship, and organize materials and post-conference follow-up;
    • Provide on-site support during events.

Partnerships:

  • In collaboration with the Program Associate, Partnerships, support a partnerships strategy that increases exposure to new audiences and continues to grow the Stevens Initiative network;
  • Assist with partner and funder research and identification;
  • Aid with developing briefs for potential and existing partners and funders; and partner and funder engagement and proposal development.
  • Contribute to the management of partner and contact data through Salesforce and Constant Contact.

Other:

  • Process stipends and payments for all communications and partnerships expenses;
  • General support and other administrative duties as assigned.

Knowledge Education and Experience:

  • Bachelor’s degree in a relevant field with at least 1-2 years of relevant experience;
  • Communicates clearly and effectively;
  • Exceptional writing and editing skills;
  • Experience with social media platforms, basic website editing/management, Microsoft Office Suite, Salesforce, Canva, Wordpress, and Constant Contact preferred;
  • Strong project management skills - attention to detail, ability to handle multiple tasks simultaneously and meet deadlines;
  • Ability to work in fast-paced environment;
  • Strong interest in the mission of the Stevens Initiative;
  • A proactive mindset and demonstrated experience working well with colleagues in an exciting dynamic environment
