Marketing and Communications Coordinator, Leadership Division

The Aspen Institute is an educational and policy studies organization based in Washington, DC. Its mission is to foster enlightened leadership based on enduring values and to provide a nonpartisan venue for dealing with issues critical to our society. The Institute has campuses in Aspen, Colorado, and on the Wye River on Marylandís Eastern Shore. The Leadership Division of the Aspen Institute builds off its 70-year history of developing leaders across generations and place to become more effective, values-based leaders. Today, the Division supports the life-long development of leaders through its seminar offerings, youth fellowship programs, and the Aspen Global Leadership Network. Furthermore, as an opportunity to learn from grass-roots community leaders and to activate its leadership networks, Weave: The Social Fabric Project functions within the Leadership Division.

Basic Function
The Marketing and Communications Coordinator is a full-time position that will work collaboratively with Leadership Division staff, AGLN Fellowship programs, Executive Seminars, and Youth Program teams to strengthen organizational efficiency, improve workflow processes, and assist in the production of strategic communications outputs to keep up with the growing needs of the Leadership Division of The Aspen Institute. The Marketing and Communications Coordinator will directly support and report to the Marketing and Communications Manager and Digital Producer, Leadership Division. The Coordinator will also assist with Marketing and Communications department administration.

Critical thinking skills are crucial in this role as the Marketing and Communications Coordinator should be working to identify new communications opportunities and improve effectiveness of how the Leadership Division and its programs is communicating its messages to external audiences, Fellows, Sponsors, the Institute, and the world.

Essential Duties and Responsibilities:

Division Events & Operations Leadership

Division Support

  • Assist Marketing and Communications team in executing communications outputs - including social media and email campaigns and special media and communications projects - across Division programs
  • Assist Marketing and Communications team on executing key initiatives of the Leadership Division

Strategic Communications Support

  • Generate engagement analytics reports on social media channels, website, and emails and in coordination with the Marketing and Communications team make recommendations t provide insights to Leadership Division programs
  • Assist in implementing communication strategies for Leadership Division programs

Department Admin

  • Process expenses and invoices for Marketing and Communications Department
  • Maintain Marketing and Communications team folders on Sharepoint
  • Assist in scheduling for Marketing and Communications team
  • Manage Dropbox and Department Assets

Internal Program Support Operations & Capacity

Content Production

  • Assist in production of e-mail communications initiatives coordinating across Leadership Division Programs as needed
  • Assist Digital Media Producer in creating videos and other strategic multi-media products with a lens towards diversity, equity, and inclusion for Leadership Division and its programsí websites, blogs, social media accounts (Twitter, Facebook, Instagram, and LinkedIn), YouTube channel, and e-blasts
  • Maintain content editorial calendar for Leadership Division including website content, social media accounts (Twitter, Facebook, Instagram, and LinkedIn), YouTube channel, and e-blasts 
  • Assist Digital Media Producer with copy writing and graphic creation for social media (Twitter, Facebook, Instagram, and LinkedIn), e-blasts, and other special projects for Leadership Division programs, especially AGLN and Action Forum
  • Support Digital Media Producer with the production of custom marketing and communications collateral (print and digital) for Leadership Division and its programs as needed
  • Assist with Fellow interviews for digital and print content

AGLN and Resnick Aspen Action Forum Communications and Marketing

  • Ensure AGLN website content is up to date and accurate
  • Assist Digital Media Producer in optimizing the website by creating new web pages and web content as needed
  • Assist in production of e-mail communications initiatives (including monthly bulletin, custom eblasts, etc.) by coordinating across AGLN Fellowship teams
  • Assist in stewarding the AGLN, Action Forum, and Fellowship brands by maintaining brand assets (logos, style guides, etc.) and content library
  • Monitor AGLN and Resnick Aspen Action Forum social media channels, website analytics, and email analytics for inbound community engagement and outward communication opportunities

Media Asset Management

  • Aggregate and catalog media assets from Leadership Division events in the media library using for use in marketing and communication materials
  • Archive and systematize records of events, interviews, and audio transcripts for use in marketing and communication materials and media content
  • Provide media assets for various communications initiatives as needed by Leadership Division and its programs, Aspen Institute central communications team, Ideas Magazine, and other partners
  • Integrate a diversity, equity, and inclusion lens in all essential duties and work responsibilities

Required Knowledge, Education and Experience:

  • Bachelor's degree in journalism, public relations, communications, political science, or related area (preferred), with 1-3 years of related experience
  • Experience in producing a range of digital and print collateral including website content, social media graphics and videos, e-newsletters, booklets, one-pagers, PowerPoint decks, etc.
  • Working knowledge of popular design tools; experience with Canva, Adobe Photoshop, InDesign, Illustrator a plus
  • Proficiency interpreting and acting upon digital analytics
  • Outstanding writing skills with a focus on detail and accuracy
  • Strong organizational skills with ability to complete projects and handle multiple tasks simultaneously
  • Ability to work independently and well with a diverse group of people throughout the organization
  • Demonstrated ability to work under tight deadlines
  • Flexible, positive, collaborative, action-oriented attitude
  • Strong interest in the work and mission of the Aspen Institute and the ability to represent the organization externally.
  • Excellent cultural competence and experience working directly with constituents from diverse racial, ethnic, socio-economic, and geographic backgrounds.
