Conference & Office Services Attendant

Location: Washington, DC

The Aspen Institute is an educational and policy studies organization based in Washington, DC. Its mission is to foster leadership based on enduring values and to provide a nonpartisan venue for dealing with critical issues. The Institute has campuses in Aspen, Colorado, and on the Wye River on Maryland’s Eastern Shore. It also maintains offices in New York City and has an international network of partners. 

Basic Function: 

The Conference & Office Services Attendant is responsible for the support of common areas and conference rooms for our DC office supporting a staff of over 450 people. The primary task is to maintain a neat, clean and tidy office. Other vital tasks include cleaning and sanitization. Light lifting required.  

 

Essential Duties and Responsibilities:

  • Facility cleaning and maintenance to include removing marks from doors and walls, vacuuming and sweeping, glass cleaning, mopping, trash removal, dusting furniture and ceiling fixtures. 
  • Replenish all office, conference rooms, kitchen and restroom supplies.
  • Prepare café and common work areas each morning by distributing newspapers, stocking supplies and brewing coffee. 
  • Preparation, execution and closeout of special office social and business-related events to include set-up and break-down of rearranging and storing furniture and other event related inventory. 
  • Stock printer stations, storage rooms and catering kitchen.
  • Maintain cleanliness and sanitation of all equipment and appliances.
  • Assist with conference room readiness to determine that the rooms are equipped with proper materials (pens, pads, handouts, event supplies, etc.).
  • Prepare beverage stations in conference rooms according to daily room reports.
  • Identify and report any observed safety hazards or maintenance concerns to supervisor or management team.
  • Exhibits a high degree of customer service skills. Takes initiative to greet guests, team members and employees in a friendly manner.
  • Complete special projects as assigned.

 

Principal Interactions: 

The Conference & Office Services Attendant interacts routinely with Institute staff, visitors, and external vendors and plays a crucial role in shaping and maintaining company culture.  

 

Knowledge, Education and Experience: 

  • Possess a strong customer service background and a high degree of professionalism.  
  • Ability to effectively communicate information in one-on-one and small group situations to employees of the organization.  
  • Attention to detail. 
  • Ability to review and interpret meeting room needs based on room setup reports.
  • Strong interpersonal and communication skills with a positive self-starter attitude.  
  • Ability to multitask and deal with constant interruptions.  
  • Ability to lift up to 25 lbs. to move furniture and/or packages.
  • Ability to respond to common inquiries from employees or members of the business community. 
  • Occasional evening and weekend overtime required.  

 

Level of Authority: 

  • Non-supervisory position 
  • No budgetary authority
