Digital Project Manager- Communications

Location: Washington, DC

The Aspen Institute is an educational and policy studies organization based in Washington, DC. Its mission is to foster leadership based on enduring values and to provide a nonpartisan venue for dealing with critical issues. The Institute has campuses in Aspen, Colorado, and on the Wye River on Maryland’s Eastern Shore. It also maintains offices in New York City and has an international network of partners.

Basic Function
The Digital Project Manager supports the organization’s flagship website and independent digital properties operated by Institute programs. She or he provides on-demand consulting support to non-technical staff. This person provides digital project management services, strategic advice, guidance on technical contracts and the proposal process, and information on best practices for website maintenance. The person in this role helps Institute staff communicate their needs to technical vendors in the digital space. The Digital Project Manager also monitors vendor deliverables and project timelines. She or he helps Institute programs make informed decisions on technical topics. The Digital Project Manager is a member of the Digital Team.

About the Digital Team
Digital staff are responsible for managing the content and the technical upkeep of the organization’s public digital presence – including the Aspen Institute website, intranet, mobile apps, and numerous other properties. Staff in this group are guided by the Director of Digital Strategy.

Digital staff work closely with other members of the Aspen Institute Communications Department.

Essential Duties and Responsibilities

  • Counsel Institute staff as they plan digital projects. 
  • Plan upgrades and enhancements to independent websites with program staff.
  • Assist non-technical staff with maintenance of digital properties as needed – especially during peak times, major events, and emergency situations.
  • Consult with vendors to negotiate technology arrangements on behalf of programs with independent websites. 
  • Help staff identify key functional and design elements to ensure that digital projects can be easily managed and that they properly reflect the Aspen Institute brand.
  • Review request for proposal (RFP) documents related to digital projects. Maintain notes on recommended vendors. Review technical proposals and project documents as part of the Aspen Institute Due Diligence Review process.
  • Work with Institute colleagues, hosting providers, systems administrators, and other vendors to coordinate project launches.
  • Maintain up-to-date guidelines for digital development projects, working with the Director of Digital Strategy and Lead Engineer, Digital.
  • Review and monitor budgets set by contracts for third-party digital services.
  • Provide as-needed production support as a member of the Digital Team, to include content management, troubleshooting, creating usage reports, and similar tasks.
  • Train Institute staff in the use of digital tools. 

Principal Interactions
Regular interaction with the Director of Digital Strategy, Communications department staff, and program/department staff with website involvement. Routine communication with Institute programs and appropriate external vendors. Cooperation with legal staff in the Due Diligence Review process for technical agreements.

Knowledge, Education and Experience

  • Minimum 3 years of previous work experience in a digital project management or content production support role.
  • Bachelor’s degree in a relevant field of study.
  • Experience in user-centered web production, writing for digital platforms, information architecture, and visual design of information.
  • Enthusiasm for digital marketing tools – new and old – and an ability to communicate their potential to others.
  • Excellent writing and editing skills.
  • Strong visual, oral, and interpersonal communication skills.
  • Detailed knowledge of HTML and CSS; familiarity with basic DNS concepts; proficiency with Adobe Photoshop and other common digital production tools; experience with content management systems including WordPress; proficiency with Google Analytics and Google Search Console.
  • Project Management Professional (PMP) certification is NOT required.

Level of Authority

  • The Digital Project Manager is responsible for day-to-day management and coordination of the organization’s online presence across most Institute-owned web sites. The Digital Project Manager reports directly to the Director of Digital Strategy.  The Digital Project Manager works closely with other Communications Department staff.
  • No supervisory authority.
